We’re hiring: Administrative Assistant
We are looking for a warm, organised, and reliable Administrative Assistant to join our dynamic team. This role is perfect for someone with a passion for people and attention to detail, who thrives in a fast-paced healthcare environment.
Position Details:
Working hours:
Mondays, Wednesdays, Fridays: 09:00 - 17:00
Potentially Saturdays: 09:00 - 13:00
Ad hoc cover for staff on leave or off sick (weekdays)
Locations
11 Kloof Road, Sea Point (Primary Location)
74 Loop Street, Cape Town City Centre (as and when needed)
Key Responsibilities:
Greet and check-in patients
Manage appointment bookings and reminders
Schedule, confirm, and reschedule appointments using the practice's scheduling software
Maintain and update patient records in compliance with data protection laws
Handle patient billing and process payments
Communicate professionally with patients via phone, WhatsApp, and in-person
Relay messages between patients and healthcare providers
Coordinate with doctors, labs, pharmacies, and other staff to ensure smooth patient flow
Support doctors and clinical staff with patient coordination
Manage admin tasks, supplies, and documentation
Assist with social media and patient engagement under guidance
Manage stock of office supplies and flag shortfalls to the practice manager
Handle patient complaints and assist in emergency situations with empathy and calm
We’re looking for someone who:
Has excellent communication and interpersonal skills
Is tech-savvy and able to work with scheduling and messaging platforms
Is organised, detail-oriented, and reliable
Works well under pressure and adapts quickly
Has previous experience in healthcare or customer-facing roles (advantageous)
Is computer literate and proficient in Google Suite
Has a working knowledge of MyMps and Healthbridge Clinical (Advantageous)
